HR & Admin Coordinator (Part time)

The candidate will operate as our HR coordinator and Country Manager assistant for administrative tasks. The position supports our Country Manager in administrative tasks and helping the HR & Accounting teams complete their missions.

Main Missions

HR and Administrative

  • Punctual Recruitment (with the support of the headquarters team)
    • Management of the recruitment process from A to Z (analysis of needs with the managers, publication of advertisements, selection of CVs, headhunting on LinkedIn (or each relevant sourcing technique, setting up and conducting interviews, follow-up of candidates until negative feedback or their arrival and updating of our follow-up tools)
    • Implementation of the sourcing strategy: (you define the sourcing strategy for each job opening and you update it regularly according to the results and priorities. You develop relationships with our current partners (job boards) and develop new partnerships to improve CV acquisition)
    • Pace: 1 to 5 recruitment per year at the moment (including freelance writers) 

  • Onboarding after recruitment
    • Pre-onboarding communication with the candidates
    • Coordinate training & onboarding with the manager of the candidate
    • Booking medical check-up
    • Enrollment to social insurance (社会保険・雇用保険)  

  • Offboarding after retirement
    • Communications related to the last day of work 
    • Obtaining signatures & documents needed to finalize retirement
    • Filling the forms to cancel social insurance enrollment (社会保険・雇用保険)  

  • Shifts and working hours management
    • Shift management; duplicating the sheet monthly  for Tokyo office members (8 to 10 people)
    • Work hour management; reflecting the comments of employees on the sheet 
    • Reminding everyone to fill in the shift once a week
    • Double-checking hours inputted in Freee software at the end of the month

  • HR follow-up
    • Employment contracts’ deadline tracking 
    • Paid holiday tracking (on freee)
    • Annual medical checkup reservation
    • Organization of HR evaluation, twice a year, with managers 

  • People Partner
    • regularly listen, know and understand our employees
    • casual catch-up with team members
    • sharing any updates with Country Manager

  • Accounting
    • Creation of invoices for partners
    • Organization AR documents
    • Payment notice management
    • Sending out payment notice to our freelancers
    • Sales Reporting 
      • report online sales via affiliation platforms
      • report call center sales via reports

Assistant responsibilities

  • Office Management
  • External vendor & stakeholder communication and management (especially related to invoices)
  • Contract management 
    • Freelancers
    • Partners companies
  • office maintenance/communication with building management

  • Punctual Translations (English ⇔ Japanese)
  • Strategic documents
  • Official or important emails to check

  • Punctual Researches
  • Services that Selectra may use Laws and regulations related to our sectors of activity (energy, telecom, insurance...)
  • Administrative research when needed 
  • monthly fill-in kWh used in Tokyo
  • HR related matter ➡️Execution, communication with specialists, creating necessary documents, contracts, and application form

Profile

  • Native Japanese speaking and writing level
  • Trustworthiness is one of your strongest qualities, meaning you have not had issues with attendance or other tardiness during your past experiences. You are also able to communicate clearly with the team;
  • Proactive and driven person, happy to communicate with external partners and collaborators;
  • Communication skills; you are able to communicate clearly & directly with managers & collaborators
  • Ideally, you already have a first experience in Japanese company administration or HR
  • Attention to detail; you are a rigorous, organized and reliable person;
  • English, French or Spanish skills to communicate with the international team is appreciated, but not a must  

Terms and conditions

  • Type of contract: 1-year long Japanese contract (renewable)
  • Location: Tokyo, Japan (our office is located between Shibuya & Ebisu)
  • Trial period: 3 months
  • Salary Range:  from 2,000 yen~ per hour (based on profile & experience)
  • Desired start date: ASAP (Feb to March 2025).
